Why the portal is safer than email
Email attachments can be forwarded, intercepted, or sit forever in an inbox. Our portal stores your documents in private, access-controlled storage. Every download uses a fresh, expiring secure link, and every access is logged. We do not use ordinary email attachments for visa document intake.
What data we collect
Only what your target embassy checklist needs for your profile: your contact details, your Visa Information Form answers, and the documents on your checklist. We don't collect documents 'just in case.'
Why we need your documents
To check them the way a visa officer would: completeness against the embassy checklist, validity dates, and consistency across your file. Without the actual documents, a readiness check would just be guesswork.
How your documents are stored
In private cloud storage with encryption at rest and in transit. There are no public links — files are referenced by system IDs, not your name, and served only through short-lived signed URLs.
Who can access your documents
Only the VisaReady staff assigned to your case — each with their own named account and role-based permissions. Sales and marketing staff cannot open client documents at all. Every view and download is recorded in an audit log.
How AI is used
We use AI tools to help check and draft documents. Every output is reviewed and approved by our human specialists before it reaches you. AI never makes decisions about your application. We use professional AI services with data protections — your documents are never pasted into consumer chatbots and are not used to train AI models.
How human review works
Client-facing outputs are reviewed by a human VisaReady specialist before release. Your reviewer approves findings by name and is accountable for your report. AI drafts; humans decide what you see.
Data retention and deletion
Uploaded documents are deleted 90 days after your case closes, and we email you a confirmation when it happens. Invoice records are kept as required by law. You can request earlier deletion from your portal at any time.
Your rights
Under the Philippine Data Privacy Act, you can access, correct, or request deletion of your personal data. We respond within 15 days. You may also raise concerns with the National Privacy Commission.

For any privacy question or data request, email support@iamvisaready.com with the subject “Privacy Request.” We acknowledge within 24 hours and respond within 15 days.
VisaReady prepares and reviews applications; visa decisions rest solely with embassies and consulates.
